This position serves as the administrative assistant to the campus provost and, as such, ensures that the provost’s office runs efficiently and effectively in supporting students, faculty, campus and district office staff, and the general public, in a professional, friendly, effective and timely way, in support of the mission of the college. |
| FUNCTIONAL RESPONSIBILITIES:

As the provost’s administrative assistant and office manager, this position coordinates calendars (for the provost, one large conference room, and two smaller conference rooms) and communication (evening administrator schedule, meeting room requests, mail, telephone, faxes, paper correspondences, reports, meeting schedules, and materials, etc.); screens and handles visits and contacts to the provost’s office; maintains office records; monitors budget accounts; tracks projects and documents; orders equipment and supplies; provides assistance to off-campus locations (Tri-Cities, Regional Automotive Center, TCC Beazley School of Nursing); assists in emergency planning for the campus; coordinates catering services for campus events. |
| REQUIRED QUALIFICATIONS: |

Demonstrated proficiency in creating and using word processing, the Internet, e-mail, spreadsheets, and PowerPoint. Demonstrated ability to create and edit business correspondence with correct grammar, punctuation, and spelling. Ability to interpret and apply VCCS, FERPA, and college policies and procedures as they relate to faculty, staff, and students. Ability to interpret and maintain budget information in the Administrative Information System (AIS). Skill in researching and resolving questions and issues using the Student Information System (SIS), as well as sound decision making skills as they relate to students, faculty, staff, and facilities. Demonstrated ability to create, organize, and maintain a physical file system, and knowledge of the operation and use of database software. Demonstrated ability to provide general office management as well as train, schedule, and supervise part-time (wage) employees and student workers. Demonstrated ability to maintain a high level of detail and confidentiality as well as provide a professional office and telephone presence. Demonstrated ability to communicate effectively with a diverse public and to handle complex situations under pressure. Ability to work in a multi-tasking, team-oriented environment with a positive approach, with the ability to prioritize work and meet deadlines with little or no supervision. Ability to establish rapport with faculty, staff, and students with knowledge of effective customer service. Experience as an administrative assistant or executive secretary to senior level executive. |
| PREFERRED QUALIFICATIONS: |
| |
Associate degree in Administrative Support Technology or Business Management and Administration or equivalent combination of education and training that provides the requisite knowledge, skills, and experience. Knowledge of appropriate methods of ordering, organizing, and maintaining office supply inventory using the college’s procurement system (eVA). Experience in a higher education environment. Basic budget experience. Knowledge of a student information system and electronic procurement system. |

Commensurate with qualifications. Position is in Pay Band three. The College offers a competitive salary and an excellent benefits package. |
